AI concierge for hotels that answers guests 24/7 and sends bookings to your own engine

The aromasuites.com homepage with the AI concierge open: a booking card with arrival Thu 22 Oct and departure Sun 25 Oct circled in red, 2 adults, 1 room, a summary of 3 nights, 2 guests, 1 room, and a Check availability button that leads to the hotel's own booking engine
The concierge on aromasuites.com, 15 October 2026: the guest picks dates in the chat, then checks availability on the hotel's own booking engine.

An AI concierge for hotels answers your guests' questions at any hour, in their own language: breakfast times, transfers from the port, the nearest beach, late check-in. It sits on your website as a chat window or answers on WhatsApp, and it sends guests to your own booking engine instead of back to an OTA. When a question needs a person, it sends the guest to your reception.

I'm Panagiotis Karampetsos, a developer in Heraklion, Crete. I build the concierge myself, and I also build and look after hotel websites. Concierges I set up are live today at Aroma Suites and Casa di Terra Villa in Santorini, and at Amoopi Nymfes in Karpathos. Open any of them and ask something your own guests ask. It's the best demo I've got.

It costs from €100 a month, plus 24% VAT, with setup included. It's the hotel side of my AI chatbot development work.

What does an AI concierge for hotels do?

It takes the questions your front desk answers ten times a day and answers them the same way every time, from your own content.

  • Answers repeat questions 24/7. Check-in and check-out times, breakfast hours, parking, pets, children, how to get from the airport or the port. Guests plan trips at 11 at night from other time zones, and the concierge answers then. Your staff read the conversations in the morning.
  • Replies in the guest's language. It's multilingual without extra setup: the language model behind it answers in the language the guest writes in, so a German guest gets German and a Greek guest gets Greek. I still test the languages your guests use before launch, because a cancellation policy can read fine in English and come out wrong in another language.
  • Works as a local guide. Where to eat, where to swim, what to see. It recommends what you give it, so it sends guests to the places you'd send your friends.
  • Moves the booking to your engine. On Aroma Suites the guest picks dates inside the chat and goes straight to the hotel's own booking engine with them. The concierge never takes payment. The engine is built for that.
  • Knows when to stop. Complaints, refunds and anything that needs a judgement call go to a person. More on that below.

The concierge only knows what's in its knowledge base: your website, room descriptions, policies, and a list of local tips. If your content is thin, I write the missing parts with you before the concierge goes live.

Website chat or WhatsApp: which one?

Both can run on the same knowledge base, so you don't pick one forever. You pick where your guests ask.

Where I'd start: the website chat. That's where a question answered at the right moment turns into a direct booking, and it's the one you can test on a live hotel today.

Add a WhatsApp chatbot for hotels if your guests already write to you there. I build it on the WhatsApp Business API, on your hotel's own number, so guests write to the number they already know. None of the hotels I work with runs the WhatsApp version yet, so I can't send you to a live one. The website concierges below are the ones you can try.

Where can you see an AI concierge working today?

On three hotel sites. I checked all three on 15 October 2026. They run on the same platform, but each has its own look and its own knowledge base.

Aroma Suites, Fira, Santorini. A cave hotel with six room types and a villa. The concierge offers quick replies for rooms and suites, breakfast, and location and transfers. It can show room photos in its answers, and guests can ask by voice instead of typing. When a guest wants to book, a date picker opens inside the chat and hands the dates to the hotel's booking engine, Reserve-Online. A "Contact reception" button gives the hotel's phone and email in one tap. I also built the hotel's website, and the Aroma Suites case study covers that side.

The Aroma Suites homepage with the chat open: a guest asks for check-in and check-out times, the assistant answers 3 PM and 11 AM, and a Check Availability panel with date fields opens under the answer
The concierge on aromasuites.com: the guest gets the answer and picks dates in the same window, then books on the hotel's own engine.

Casa di Terra Villa, Santorini. A private villa with the same owner as Aroma. Its concierge is set up as a local guide: its suggested questions are about what to do, what to visit, where to eat and where to swim.

The Casa di Terra Villa chat: a guest asks in Greek how to get to the villa from the port, and the assistant answers in Greek, naming Athinios port and a private transfer the villa can arrange
Casa di Terra's concierge, asked in Greek and answering in Greek. The port and the private transfer come from what the villa gave it.

Amoopi Nymfes, Karpathos. A resort, with a concierge in its own blue. Its suggested questions ask which room suits a family, whether there's a beach nearby and whether breakfast is included. When a guest wants a reply from the team, a short form takes their name and email.

What does it not do, and when does it pass the guest to your staff?

A concierge that tries to handle everything does more damage than having none, so I set mine up to know where they stop.

A cold room or a noisy neighbour needs someone who can fix it, not a bot that says sorry three times. The concierge apologises once and points the guest to your staff. Refunds, disputes and payment changes go to a person too. So do the judgement calls: an upgrade, a free night, the couple who've come back every June. Those are commercial decisions, and they stay with you.

For weddings, groups and long stays it collects the basics (dates, numbers, what they're after) and your team takes it from there. And when it doesn't know something, it says so. Guessing is worse, because a guest will quote an invented policy back to your front desk.

Today the handoff goes through your phone, your email or a contact form. On Aroma Suites it's the reception button with phone and email. On Amoopi it's the form. If you'd rather your reception answered inside the chat window itself, I can switch on live chat: the platform supports it, though none of these three hotels uses it today.

How much does a hotel AI concierge cost?

From €100 a month, plus 24% VAT, which comes to €124 a month. That includes:

  • setup, with no extra fee;
  • AI usage, with no cap;
  • updates to answers, prices and documents whenever you ask;
  • a monthly report.

If you want to compare it with ready-made software, my hotel chatbot guide lists published SaaS prices. HiJiffy's, for one, add a setup fee on top of the monthly plan. The short version: for a small hotel, the language model is rarely the expensive part. Preparing the content and keeping it current is, and both are in the monthly price.

Who builds an AI concierge for a hotel in Greece?

I do, from Heraklion, for hotels across Greece and abroad. Hotel chatbot development is only half the job, though. The other half is the website the concierge sits on, and that's where most of the problems I've fixed came from.

When I added the concierge to Aroma Suites, it didn't show up. At all. The site's security headers were blocking the chat platform. Later, four third-party scripts loading at once made the homepage's mobile PageSpeed score jump around from test to test. Today the concierge on Aroma loads on the visitor's first interaction, or after 15 seconds, so it doesn't slow the page down. Both stories are in my write-up of what broke on a live hotel site. A vendor who only sells the chat window won't fix your security headers for you.

That's why I'd rather do both. If the site itself needs work, I also do hotel SEO on the sites I build, Aroma included.

How I set up an AI concierge for your hotel

  1. Content check. I go through your site and the material you send me, and list every fact the concierge needs: rooms, policies, breakfast, parking, transfers, payment, local tips. Whatever's missing, we write together.
  2. Booking engine check. The connection I've built so far is with Reserve-Online, on Aroma Suites. If your hotel uses a different engine, I check what it lets the concierge do, such as a booking link with the dates filled in, and you hear the answer before we start.
  3. Channels. Website chat first, then WhatsApp if your guests already write to you there.
  4. Instructions. Tone, languages, what it refuses, when it hands over, what it says when it doesn't know.
  5. Testing. Real guest questions, angry guests, language switches, off-topic questions, attempts to trick it. Every miss goes back into the content or the instructions.
  6. Launch and the first weeks. I label it plainly as an AI assistant, check the site's speed before and after, and read the conversations closely while it settles in.

Once I have your material, the concierge is live in 1-2 days.

FAQ

What is an AI concierge for hotels?

An AI concierge for hotels is a chat assistant that answers guest questions on your website or on WhatsApp. It answers from your own content, replies in the guest's language at any hour, sends booking requests to your own engine, and points the guest to your staff when a person is needed.

Which languages does it speak?

It replies in the language the guest writes in, without a separate setup per language. Casa di Terra's concierge greets guests in English, and a guest who asks in Greek gets the answer in Greek. Before launch I test the languages your guests use and check that your policies read correctly in each one.

Will it replace my reception?

No. It takes the repeat questions off your front desk so your staff can spend time on the guests in front of them. Complaints, refunds and special requests still go to a person.

Is an AI concierge allowed under GDPR and the EU AI Act?

Yes, if it's set up properly. Under Article 50 of the EU AI Act, from 2 August 2026, people must be told they're talking to an AI system unless that's obvious. The live concierges greet guests as the hotel's virtual assistant. On a new concierge I go further and say "AI assistant" in the chat header, with a line that a person can take over.

The chat also sees names, dates and sometimes contact details, so GDPR applies too. The conversations are stored on servers in the EU, and I sign a data processing agreement (DPA) with the hotel if you ask for one. Your privacy policy should mention the chat as well.

How long does setup take?

1-2 days from the moment I have your material: room details, policies, prices, local tips. Most of the work is in that material, not the software, so a hotel whose website already answers guests' questions has little left to send.

What does an AI concierge cost a small hotel?

My hotel AI concierge starts from €100 a month, plus 24% VAT, so €124 a month with VAT. Setup, AI usage with no cap, content updates and a monthly report are included.

Does it connect to my PMS or booking engine?

The booking engine I've connected so far is Reserve-Online, on Aroma Suites: the guest picks dates in the chat and lands on the engine with them. I haven't connected a PMS. For any other engine I check what it allows before you pay anything, and I won't promise a connection I haven't built.

Can I try one before I decide?

Yes. Open the chat on aromasuites.com, casaditerravilla.com or amoopi-nymfes.gr and ask it what your own guests ask you.

Let's talk about your hotel

Send me your website address and tell me which questions eat your reception's time. I'll tell you whether I'd start on your website or on WhatsApp, and what your concierge would need to know first.
